Members & Roles

A project is shared by invitation. The Members page is where you invite people, decide what they may do, and remove them again.

The three roles

  • Owner: whoever created the project. Everything an admin can do, plus the four things nobody else may: rename the project, change its timezone, delete trait keys, and delete the project. There is exactly one owner, and the role cannot be handed to somebody else, so create a project under the account that should keep it.
  • Admin: changes the tracker and privacy settings, manages API keys, and invites, removes and re-roles other people. Cannot delete the project or take the owner’s place.
  • Member: reads everything — the analytics, funnels and dashboards, and the settings pages too — and changes no settings.

Change settings means the Tracker and Privacy & Security pages. Renaming the project, changing its timezone and deleting a trait key sit with the owner alone, even though they are reached from the same sidebar.

Inviting somebody

You invite by email address, and what happens next depends on whether that address already has an account. If it does, the person is added straight away and gets an email saying so. If it does not, an invitation goes out with a link that is good for seven days, and the row sits in the table marked pending until they accept it. Owners and admins can invite, and the invitation carries the role you picked — admin or member, never owner.

Changing a role

Pick the new role from the dropdown on the person’s row; it takes effect at once. Owners and admins can do this. The owner’s own row has no dropdown, because that role cannot be changed by anybody, the owner included.

Removing somebody

Removing a person takes their access away immediately, and removing a pending invitation cancels it. Nothing they looked at or created is deleted — the data belongs to the project, not to them. The owner cannot be removed.

How many people

Your plan sets how many people a project may hold, and pending invitations count towards it, so an invitation nobody ever accepted still occupies a place until you cancel it. The limit that applies is the project owner’s plan rather than yours: a project you were invited into follows its owner’s plan whatever you pay for your own. The numbers are on Plans & Limits.
